  1. Our next chapter meeting is April 15th at 5pm with MEP #8 immediately before at 4pm. ALL MEMBERS are encouraged to attend as it will be more like a CMEP than strictly for new members.

*Note: This meeting is also Nominations! If you are interested in running for Alpha Iota office, you must be present at this meeting or tell Kristina ahead of time which position you would like to be nominated for. Further details on the election process will be provided at this meeting.

5. APRIL 29 IS ELECTIONS FROM 12 P.M. – 6 P.M. It is absolutely imperative that everyone is present for this as we cannot proceed with elections if we do not have a quorum (75% of active membership present). If you work on Sundays, you need to ask off or trade shifts now.

Mini-Minutes – 1/21/18

Happy New Year! It’s been a really long time since we’ve seen everyone, but congrats on making it through last semester, hope everything had a great holiday season, and thank you for everyone making the meeting yesterday, especially with all the nasty weather (but it’s okay because the snow is pretty and makes everything worth it). Also new this semester – I was inspired by Kristina’s photoshop designs for the recruitment week info, so I gave our mini-minutes a little bit of a facelift to make everything worth it, so here is your //a e s t he t i c s// update!

We began our first meeting into our new format, so here’s a breakdown of what happened yesterday!

  • Welcome back everyone and welcome to your first meeting MCs!
  • Conditional letters are due on February 3rd! Check with Kristina if you have any questions regarding the circumstances, etc.
  • The next meeting will be February 3rd at 4pm! Exec will meet at 3pm, the MEP will be 5:30pm, and First Degree is at 7pm.

  • The Snapchat contest for Spring 2018 begins on Tuesday! Let your streaks die!
  • Congrats to Spencer and Allison for winning the Fall 2017 streak contest!

Afterwards, we discussed some more information about the rest of the semester. More specifically, we ran through the website!

  • The website is http://www.kkpsialphaiota.wordpress.com! You’re probably here right now, so you ‘re already one step ahead!
  • The homepage will feature mini-minutes (like this!) and other important information regarding meetings or other logistics.
  • Sign up for email alerts! You won’t have to look at the website for all of the details as mini-minutes will go to your inbox. 
  • The Kappa Drive link will link to important folders like minutes (both chapter and exec), the budget, attendance, and the archives.
  • Resources include important documents like the constitution, the RTW Handbook, officer handbooks, website links to the national/district websites.
    • The National website has tons of information that is extremely useful, including our publications, brother portals, etc.
    • Double check your membership requirements! Some rules have changed due to the new meeting format. Membership Candidate requirements are also here.
  • The sign-ups tab contains all the important sign ups for Snapchat, taking care of Glory, and other recital/receptions.
  • Send your photos to Trevor for the scrapbook using the Photos tab!
  • Suggestion Box is open always to address any concerns either privately or publicly.
  • Contact information can be found on the Contact tab with social media links, etc.

Committees

We are beginning our new committee format this semester! Here are some important things to note about committees.

  • Committees and projects can be proposed all year – talk to exec about what you can lead or begin!
    • There is a document that outlines the format to propose a committee. You can find it here or in the Kappa drive.
  • The next two weeks are a grace period to explore some committees. MCs and active brothers have a requirement of what committees they must attend – please look up what your requirements are under the resource tab!
  • There is a document that outlines every committee, who runs it, and more information. You can find that here or in the Kappa drive.

Important Updates for the Spring!

Hello Brothers!

New semester! More Kappa! This email contains important updates and reminders, so please read all the way to the end.

First Meeting:

  • Our first meeting will be Sunday, January 21st at 6pm-7:30pm in Hellems 211 (same room as last semester).
  • The first MEP will be immediately before at 4:30pm
  • All other meetings and MEPs are already in the calendar; it’s your responsibility to know when they are if you do not use the Kappa Google calendar.

Committees:

  • Reminder, we have two types of committees now: Core and Fluid
  • Core committees are the chair committees (Music, Service, and Brotherhood)
    • New members/Membership Candidates must spend their first full semester as an active member of one of the core committees as these will be the most involved and representative of Kappa.
  • Fluid committees are on an as needed basis; if you’d like to create a fluid committee, see below.
    • To create a fluid committee both executive and general body members must present to exec. the purpose of the committee and why it is needed.
      • In the case of a general body member they must also submit the names of at least two brothers willing to join their committee.
      • General body members that become committee leaders must attend the executive meetings.
      • A rough start and stop date for the proposed fluid committee must be presented
    • Run for as long as needed. Not required to meet weekly.
  • Choosing a committee:
    • Members must choose and commit to a committee by the second general body meeting of the semester. This gives them two weeks to explore the different committees and choose.
    • If a fluid committee adjourns before the semester ends, members must then join another committee if they are already not a part of another one. I.e. at no point in time can a member be on zero committees.
    • Committee chairs will report to the executive board the members of their committee.

Reminder of New Attendance Policy

  • All active members of Kappa are required to join at least one committee a semester, but are encouraged to join as many as they are interested and willing to commit to. Members must be committed to their chosen committee for the entirety of the semester. New members must spend their first semester in one of the three core committees.
  • Attendance at committees will be taken but not punitive. Members should be self motivated enough to attend. Members will get out what they put in. Each committee may set their own attendance policy which may or may not be punitive.
  • Involvement in committees will be taken into consideration when deciding, elections, and active status.
  • 75% attendance at general meetings – max. 2 meeting absences (Skypes allowed and do not count against your absence count)
    • Absences must be reported to Kristina, whether they are excused or not – this is simply for the courtesy and respect of your fellow brothers
    • Excused absences include: musical performances, school requirements (homework does not count – this includes practicing if you are a music major), hospitalization, funerals, scholarship commitments, possible others on a case-by-case basis. REMEMBER: I can’t excuse you if you don’t tell me you’ll be gone; it’s on you to communicate.
    • Things that will not be excused: weddings (you should know about these ahead of time and should plan your absences accordingly), sick days (you can Skype in from home), homework, review sessions, possible others on a case-by-case basis.
    • Exceeding 2 unexcused absences from general meetings may result in probationary status.
  • If you have questions about attendance, please please please ask. Better to ask then get accidentally penalized due to a miscommunication.

Calendar

The Kappa calendar is more or less updated with meetings, events, and the basketball band schedule. There is a LOT! Something almost every week. Some things are still tentative, but final dates will hopefully be decided on by the next executive meeting, so hang tight on those. Other events that need to be on your radar are:

February 3rd (Saturday): PUT THIS ON YOUR CALENDAR NOW! We will be having a meeting, MEP, and (fingers crossed) 1st Degree on this Saturday because the 4th is Super Bowl Sunday. We figured it would be easier to move everything to another day than to risk absences and/or scheduling conflicts.

February 16th-17th (Friday – Saturday): MWD District Day at Colorado School of Mines! This is an awesome opportunity that everyone should make a great effort to go to – especially if you’ve never traveled to a district event before. The cost will be zero as it is just up the road in Golden! You will get so so so so so so so much out of it – Kappa-wise and otherwise. https://www.facebook.com/events/133922557281989/

February 23rd-24th (Friday – Saturday): CU Honor Band Weekend (run by service committee, but everyone is required to volunteer to help pull it off)

February 25th (Sunday): Second Degree with MEP before

February 26-27th (Monday-Tuesday): One of National’s Chapter Field Representatives (CFR) – Alaina Peters – will be in Boulder to visit our chapter (hopefully she’ll make it in time for degree the day before as well). This is not an “inspection” and she is not the “fraternity police”, it just a routine visit and an opportunity for us to ask her any questions we may have. The visit will consist of the CFR meeting with all officers and the Director of Bands and Chapter Sponsor as well as a meet and greet with all of you! So please try and block out time on your calendar for Monday, Feb. 26th at 6:30pm-7:30 pm to do so. More details do come, just make sure it’s on your radar. March 11th (Sunday): Third Degree with MEP before

April 6th-8th (Friday-Sunday): Midwest District Convention!! Gonna be a blast. Location: Springfield, Missouri. Details to come.

April 21st (Saturday): “Yard Party” with the Xi Chapter at Colorado School of Mines, details to come

Other events with dates that are TBD: Recital, retreat, conducting clinic – see calendar for tentative options.

General Housekeeping:

Inactive Status: If for whatever reason you or someone you know are considering not continuing with Kappa this semester, you need to let us know. You don’t necessarily have to explain why, but the courtesy of information is much appreciated. Remember, if you haven’t finished paying off your dues, but are going inactive, you will still be responsible for paying off that debt as the chapter has already paid that money on your behalf.

Conditional Status: Conditional letters will be due February 3rd. Letter should explain why you are seeking conditional status and what you plan to do for the chapter in your absence. Writing a letter does not guarantee you conditional status as it will need to be approved by the chapter and Dr. Roeder. You are still responsible for paying dues while you are conditional.

Mini Minutes – 9/10/17

Hey everyone, I apologize for the late posting of mini-minutes but I decided that getting sick was a better option for last night. I hope you all are getting through the semester great and hopefully not feeling like I am!

Let’s start off with some shoutouts!

  • Conner, Nate, Spencer, Colby, Carrie, and Maddie helped cleaned practice rooms last week!

  • Conner worked almost a total of 80 hours helping out with Rockies fundraising!
  • Thank to everyone who helped with the Summer Music Academy and Chris Huls’ recital last week!
  • Trevor started Fun Fact Fridays!
  • Gabi met with Kristina and helped make some plans that will shape Kappa for the better!
  • CU beat Texas State in our home opener (skoooo)

off to the PAC-12 championships

Some important announcements:

  • If you don’t go by the name that is on your Kappa certificate or membership card, talk to Kristina! For a small fee (or nationals can even cover the fee), you can change your name.
  • Dues will be due on September 24th. $135 for anyone who didn’t complete Rockies games, or $110 for anyone who did work at Rockies games. If you want $25 back, help Trevor with archives in the next coming weeks (three 2-3 hour sessions on Sunday Nights). Make sure dues are paid from last year ASAP!

  • Conditional letters are due by September 17th. You must write a letter to the chapter to ask why you seek conditional status and what you plan to do to stay involved. On September 24th, each letter will be voted on and Dr. Roeder will give his seal of approval. Work is not a valid reason to go conditional!
  • The Center for Student Involvement is hosting the Core Leadership Program, including sessions that will be held Tuesdays, 3:30-5:00pm starting September 19th or Wednesdays, 4:00-5:30pm starting September 20th. You get to attend an overnight retreat in Estes Park on October 14th-15th and it’s free! Registration closes on the 15th, so register/talk to Kristina for further concerns.   • A new Jurisdiction Committee will be created that will review the Constitution and clean up anything that we either don’t abide by or don’t need anymore. Nate will lead this standing committee over the next coming weeks. Commitment is important as this is a weekly ordeal!

  • Carrie is creating a membership committee, in which you will help plan lessons for degrees/rituals, etc. Talk to Carrie if you’re interested!
  • Spencer is helping begin the Alumni Association and is preparing to gauge interest among alumni.
  • Trevor would love some input on snacks (opinions, dietary concerns, etc). He is also digitizing the scrapbook this year so make sure you are taking lots of photos. The Archive project will begin shortly on Sunday Nights, including scanning onto hard drives, snacks, and brotherhood.

  • Andrew put reception sign ups on the Facebook group page. Conducting clinic will be on November 4th! A committee will be coming soon to further discuss CSO concerts. The tentative date for recital is December 9th, in which current brothers should complete this date rather than the later dates!
  • Leo is planning for a Staycation retreat November 3rd and 4th, including a sleepover and midnight hike! This week’s KKPstuesdays will be at BJ’s for Pizookies!

  • Maddie is beginning a signup sheet for cleaning the band room after games soon. Since we are not doing CU Band Day this year, we can take on a larger service project, so stay tuned!
  • Gabi has adopted a mascot (as so generously donated by Carrie). Name suggestions are on the Facebook page. Check out the Facebook page for Snapchat usernames for streaks, and remember the longest streak at the end of the semester wins. The Instagram has been utilized and send Gabi photos so that your throwback thursday photos can be posted!

We also voted on the budget this meeting. Check out the Google Drive for the full line-by-line item breakdown of the budget. The important things to note include:

  • Starting Budget: $10,820
  • Music Service (meaning money that benefits the College of Music such as tuba covers) was changed from $2,000-$2,500
  • Commissioning Fund (meaning money that was stored away for future members to use to commission a piece) was changed from $1,000 to $1,500
  • Travel Subsidies (what the chapter pays for travel to District/National events, including a possible per diem, hotel fees) was changed from $5,000 to $4,500.

We also quickly reviewed the calendar and highlighted some important dates:

  • Band Banquet – November 12th
  • Elections – November 26th
  • Recruitment Week – October 31st to November 2nd, will include KKPstuesdays, Staycation, Conducting Clinic

Next week we will discuss the suggestion box and other fundraising activities such as Rockies.

Classes are about to begin and band camp is even closer! But this all means Kappa is also just around the bend!
